What we keep
For each company: the people its admin adds (name, email, role), its projects, equipment lists, startup reports, photos, signatures, templates, logo and colors, and the PDFs it sends. For each save we keep who made it and when, so reports can be rolled back.
For StartupSend support's visits to your account: when support opened it, as which role, what it opened, downloaded and changed, and when it left. That is your company's Access log.
From the website: what you type into the contact or free trial form, and the network address it came from, to stop spam.
What we do with it
Run StartupSend for your company: show your reports to the people you add, make your PDFs, and email them to the addresses you choose. We do not sell your data, show ads, or use your reports to train anyone's AI.
Who can see it
The people your admin adds, each with what their role allows (admin, office, field tech or reviewer), and the reviewers you send a review link to, who see only the reports on that link. Each company's data is kept apart from every other company's.
StartupSend support (the founder, who runs StartupSend) can open your account to help you only while your admin has support access switched on. It is on during your free trial, until the trial's last day, and your admin can switch it off at any time on the Company page. After that it is off unless your admin switches it on again, for 1, 7 or 30 days, and it switches itself off when that time is up.
Every time support opens your account, everything it opens or downloads, what it changes, and when it leaves, goes in the Access log on your Company page, and your admins get an email when support opens the account (at most one an hour). Support can never change the support access switch itself.
While support access is off, support can open your account only in an emergency, such as nobody in your company being able to sign in: it must write down why, it lasts 2 hours at most, it is in your Access log, and your admins get an email with the reason at once. It can never be done through an AI connection.
Who processes it for us
StartupSend uses these services to run. Each gets only what it needs, only when it needs it:
- Cloudflare hosts StartupSend and stores everything above: your records, photos, signatures, PDFs and backups, in the United States. Every page and every request passes through it. Always.
- Resend delivers our emails: sign-in links, invites, the reports and review links you send, and support access notices. It gets the recipient's address, the subject, the message and any attached PDF. Each time an email is sent.
- Stripe takes card payments. It gets your company's name, the admin's email and the plan, and your card goes straight to Stripe: StartupSend never sees or keeps the number. Only if you pay by card.
- Anthropic (Claude) reads nameplate photos for Read the tag, which comes with every plan. It gets the tag photo and the names of the fields to read. Only when a tech uses Read the tag (StartupSend can switch AI off for a company).
- TypeSafe (Jev) checks Read the tag's work and runs AI checks. It gets tag photos, report photos and notes. Only when a tech uses Read the tag, or for the AI checks your company switches on.
- Open-Meteo gives the weather near the job, to fill outdoor temperature. It gets the job's address (to find the place) or, if the tech taps Use my location, the phone's location rounded to about 1 km. Nothing about the person. Only when your company has weather fill on, which you can switch off on the Company page.
- Software MCP is our tool for error reports and feedback. Its small script loads after StartupSend has started, and only in the app. It gets an anonymous install id (no name, no email), the app version and, when something breaks, a short description of the error and the screen it happened on, with names starred out. When someone sends a note from Problem or idea? in the menu, it gets their words and any picture they attach.
If you connect StartupSend to your own AI assistant, what you ask and what it reads from StartupSend for you goes to the company behind it, under your own account and that company's terms: to Anthropic when you use Claude, to OpenAI when you use ChatGPT. StartupSend sends it only what your role can see, only when you ask, and keeps no copy of your conversation.
Keeping and deleting
Your data stays while your account is open, with nightly backups of your records. Your admin can download all of it at any time from the Company page. After your plan ends (cancelled, or a trial that is not paid for) we keep your data 90 days, so you can still download it or come back. Then we delete it, backups included, within 30 days. Ask us and we will delete it sooner.
