How it works

Everything between the roof and the commissioning provider.

The office sets up the job once. Techs fill each unit where it sits. A reviewer checks it if you want one. The whole set goes out as one branded PDF. Here is every piece, in order.

The four steps

From equipment list to signed-off PDF.

Nothing new to learn for the office, nothing hard for the tech. Each step is one screen.

  1. 1

The office sets up the project

Make the project and pick the startup sheets it needs. Each kind of equipment gets its own tab, like a sheet in a workbook: paste the rooftop units from Excel into the rooftop unit tab, and every row becomes a report. Or skip it: techs can add units as they go.

    • Type, paste or fill down, like a spreadsheet
    • Status for every unit at a glance

  2. 2

Techs fill it in the field

Big buttons, a number pad for readings, mode tables and L1, L2, L3 rows. Photos and a signature from the same phone. Read the tag (AI, included in every plan): one photo of the nameplate fills its fields, each checked against the photo, and anything it is not sure of is left for the tech to confirm.

  3. 3

    Review, if you want it

Your own reviewer, the Cx provider, or both. Return a report with a note, or approve it. Skip review on the jobs that don't need it.

  4. 4

    Send the set

Approved reports go out as one branded PDF with a contents page, to the Cx provider, the GC or the owner. Every PDF you send stays on the project.

In the field

Made for a roof, gloves and glare.

Field techs get the simplest screen in the product: today's units, one section at a time, and a clear count of what's left. No menus, no settings, nothing to break.

  • Big Yes, No and N/A buttons, one tap each
  • A number pad for readings, and Enter jumps to the next box
  • "Mark all Yes" for a section that all checks out
  • Name and date fill themselves on the first entry
  • Photos of the nameplate and gauges, and a signature, from the same phone
  • Type the manufacturer once, and it offers to fill the other blank units of the same kind

Live math, as suggestions

As readings go in, the phone works out what a commissioning provider would check, and says so if a number looks off. It never stops the tech from saving: the person on the roof decides.

SuperheatSuction line temp minus the saturation temp for the suction pressure, by refrigerant.
SubcoolingSaturation temp for the liquid pressure minus the liquid line temp.
Voltage imbalanceThe largest leg's distance from the average, as a percent. Flagged over 2%.
Amps against nameplateRunning amps compared with the RLA or FLA on the nameplate.
Temperature splitEntering minus leaving air or water, against the expected range.

Lost signal on the roof? What the tech typed is kept on the phone and saves the moment signal comes back.

Made for the roof

Sun mode

One tap turns the form black on white, with heavier lines and bigger boxes, readable in full sun. The phone remembers it.

A PT chart in the pocket

Ten refrigerants, R-22 to R-454B and R-32. Type a pressure for the saturation temp, or a temp for the pressure. Blends show dew and bubble.

Outdoor temp from the weather

Filled from the weather at the job's address, or the phone's location once the tech allows it, and kept as "from weather".

AI included

One photo of the tag fills the nameplate.

The tech takes one photo. Each field read off the tag is checked against the photo, and anything it is not sure of is left for the tech to confirm. A wrong value is never filled in silently.

  • Read the tagModel, serial, volts, refrigerant and amps: the fields your sheet asks for. A field it cannot read asks for a closer photo of that field alone.
  • AI checks on photos and notesA nameplate photo too blurry to read, a dirty filter, a missing belt guard, notes that say something is still broken on a report marked complete.
  • Your own rules, in plain words"The photos show the disconnect with its cover closed." Checked on every report, as a suggestion.
  1. One photoThe tech lines the tag up in the frame and takes one picture.
  2. Every field checkedEach value read off the tag is checked against the photo before it is trusted.
  3. The unsure ones stay with the tech"Check the serial" is one tap; a field too blurry to read asks for a closer photo of that field alone.

AI is included in every plan, with AI tag reads every month (3,000 on Crew, 10,000 on Company, 30,000 on Business; one read is one unit, however many photos; an AI-checked report counts as a quarter of one). Past them, your admin can allow pay as you go at $1 per 100 tag reads, up to a monthly ceiling; without it, AI pauses until the 1st and the tech types as usual. See pricing. AI checks run when a report is marked complete and on review, never while the tech types.

The Checks console

Every automatic check, under your control.

StartupSend checks readings as they go in: superheat and subcooling, volts and imbalance, amps against the nameplate, air and water against design, gas and combustion. Your company decides which checks run, at what limits, on which equipment.

  • Turn any check off, or move its limits
  • Point a check at the equipment or the readings it is for
  • Add your own checks for your company's standards
  • Try it first: type readings and watch the checks answer
  • On from day one: only the checks that are accurate and worth hearing

Every check says why it is on and where its limits come from. They suggest; they never block. The tech on the roof decides.

Real outcomes

Not every startup ends complete. Every one ends clear.

No boiler water, no power yet, a part on order. The tech says what could not be done today and why, and the visit ends the way it really ended. Nothing is made to look finished.

  • Complete

Every reading in and signed on the phone. The report is ready for review or to send.

  • Partial, come back

A part that cannot be done today keeps its reason and what was typed, and stops counting as blank until the tech does it.

  • Complete, with open issues

The startup is done, but something is wrong that someone must fix. The issue is noted on the unit, not lost in a text.

The job's Come back for list

Every partial visit and open issue on the job, on the tech's phone in one list, each with its reason. The next trip to the site starts there.

  • WSHP-3Heating: No boiler water yet
  • EF-1Open issues: belt guard missing
  • RTU-4Economizer: Waiting on parts or repair

In the office

The whole job on one screen, and sheets you build on the page.

Every unit on the job in one table, with its status, what's left and who touched it last. When a sheet needs to change, you change it on the report itself and see the final page as you go.

  • Projects with equipment lists pasted from Excel
  • Status for every unit: not started, in progress, in review, returned, approved, sent
  • Admin, office and field roles, so each person sees only their part
  • Start any sheet from the library, then rename, add, move or remove fields on the page
  • The builder suggests fields for each kind of equipment as you type

Review

Review the way each job needs.

Pick a default for the company and change it on any project. The same review screen works for your own people and for the Cx provider, who opens it from a link with no account to make.

Reports

Set your report style once. Every page follows it.

The design studio holds everything that makes a report look like yours. Set it once for the company, and every report, and every sheet you pull from the library later, picks it up.

  • Header style
  • Logo placement
  • Colors
  • Fonts
  • Cover page
  • Section style
  • Signature block
  • Footer
  • Density
  • One report, or the whole set with a contents page
  • Unit, location and project on every page, and page numbers
  • Blank fields print as a dash, so nothing looks missed

AI assistant connector (Claude or ChatGPT)

Ask Claude or ChatGPT about your jobs. It answers from StartupSend.

Connect StartupSend to Claude or ChatGPT once, then ask in plain words: what is left on a job, add the units from an equipment list, fill in readings from your notes. It works as you, with only what your role can see and do.

  • Find projects and units, see what is left and who changed what
  • Start a project, add units, fill readings, mark a report complete
  • A field tech's assistant cannot approve; an admin's can manage the team
  • Nothing is deleted, and PDFs still go out from StartupSend itself
  • Every change says which app made it: "(via Claude)" or "(via ChatGPT)"
  1. Open the Company page in StartupSend and copy the connector address.
  2. In Claude, add it as a custom connector (Settings, Connectors). In ChatGPT, turn on Developer mode (Settings, Apps and connectors, Advanced settings), then Create one with the address. ChatGPT may need a paid plan for this.
  3. Sign in with your StartupSend account. Disconnect any time from the same card.
